Position Summary

The Receptionist/Traffic Assistant is responsible for overall receptionist duties as well as assisting the traffic department as needed. This position will play a key role in overall administrative tasks such as receiving incoming calls, answering basic inquiries, and taking messages as well as entering digital orders and scheduling commercials accurately. The receptionist/Traffic Assistant must be friendly, professional, courteous, and efficient when working with all customers and employees.

Essential Duties and Responsibilities

Receptionist:

  • Meet and greet customers in a professional manner.
  • Operate switchboard telephone system.
  • Communicate with callers in a professional, friendly, and efficient manner, striving to minimize the amount of time spent on hold.
  • Take thorough messages, indicating the caller’s first and last name, company name if applicable, the time and the message the caller wishes to leave.
  • Provide basic information to callers who have general inquiries.
  • Assist with various clerical duties as needed.
  • Receives and distributes office mail.
  • Assists the Promotions Department with distribution of prizes.

Traffic Assistant:

  • Attend meetings and training courses as scheduled, if necessary.
  • Secure and input traffic instructions for advertisers across multiple channels or playlists.
  • Enter detailed copy information using Wide Orbit traffic software.
  • Maintain instruction files, spot library and various other traffic functions.
  • Work closely with local Account Executives, Sales Department, and clients in a professional and timely manner.
  • Notify Account Executives of missing copy instructions.
  • Maintain thorough/accurate communication between traffic hub, Sales and TV operators.
  • Liaison between Master Control and Account Executive and/or Client on any quality control issue related to spots or Paid Programs.
  • Become familiar with compatible video formats and transcoding methods.
  • Use Wide Orbit Traffic to aggregate reports.
  • Responsible to reconcile “As- Run” logs back into the Wide Orbit traffic system making sure everything ran as scheduled.
  • Perform other duties as assigned.

Minimum Requirements

  • Have 2+ years of recent administrative support experience.
  • High School diploma or equivalent.
  • Possess excellent written and verbal communication skills.
  • Ability to operate a multi-line switchboard.
  • Ability to read and comprehend instructions and information.
  • Ability to work well with the public.
  • Heavy emphasis on attention to detail.
  • Ability to learn and understand required software and systems, strong computer knowledge preferred.
  • Ability to prioritize assignments and handle multiple tasks simultaneously.
  • Openness to learning new skills, systems, software.
  • Build positive relationships with co-workers including sales management, AE’s and news production.
  • Problem-solving ability – identify problems, suggest improvements/solutions. Look at processes through a new eye to streamline or make things better.
  • Microsoft Office knowledge (excel and PowerPoint specific).

Physical Requirements

Position Summary

The Senior Accountant is responsible for analyzing multiple complex financial reports in preparation to present the company’s financial statements. The Senior Accountant regulates and authenticates financial transactions and maintains a ledger to ensure effectiveness and accuracy of all accounting tasks.

Essential Duties and Responsibilities

  • Overall accounting and variance analysis.
  • Perform various functions directly related to the accounting month-end close process, which include but are not limited to preparing journal entries and supporting schedules, reconciling bank and ledger accounts, and reviewing detailed transactions for accuracy and validity of accounting treatment.
  • Analyze and prepare entries related to payrolls, benefits, commissions, barter, invoices, contracts, and various vendor payments for posting to the general ledger.
  • Analyze actual results against budgets and forecasts.
  • Prepare ad-hoc or other financial reports, as necessary.
  • Maintain US GAAP accounting and ensure compliance with all relevant accounting literature.
  • Maintain SOX compliance and update related process flows.
  • Review and analysis of financial statements and key metrics for assigned areas.
  • Prepare general ledger entries and balance sheet reconciliation in compliance with policies and procedures.
  • Identify and implement process improvements as continuous improvement.
  • Liaise with external auditors and provide documentation as necessary.
  • Help design and implement internal controls over accounting processes.
  • Update and maintain schedules to reflect activities and balances at period end, involving generating relevant system reports or obtaining data from third-party sources (such as sub-ledger reports, GL details, amortization schedules, payroll reports, account statements, contracts, and invoices).
  • Ensure accuracy by reconciling figures with source documents and validate the completeness and accuracy of acquired data.
  • Conduct calculations for items like accrued commissions and bad debt reverses.
  • Conduct reconciliation for SL to GL and books to bank where applicable.
  • Gather documentation and conduct research to explain and support changes in activities compared to prior periods.
  • Investigate aged balance to propose appropriate resolutions for reconciling items or accrual components.
  • Execute necessary adjustments via Journal Entries to ensure accurate representation of financial data.
  • Verify and ensure all required adjustments impacting account balances were made for each market in consolidated schedules.
  • Reconcile consolidated schedules with the consolidated general ledger to ensure alignment.
  • Analyze balance sheet accounts to appropriately classify balances between Short Term and Long Term, distinguishing between receivables or payables with terms exceeding one year as Long Term.
  • Additional accounts reconciliation and analysis as needed.

  • Provides copies of production orders on a timely basis to Copywriting/ Production and Continuity.
  • Assures that when necessary, any spots that need to be “made good” are followed up on accordingly and approved by the clients.
  • Reviews the “Contract Verification Report” listing all bumped spots and assures each advertiser is being followed up with, so that revenues are not lost.
  • Monitors the market stations to keep informed on what advertisers are active in the marketplace and targets those accounts as potential advertisers.
  • Works under the general supervision of the Local Sales Manager.

  • Ability to create advertising proposals and exercise excellent presentation skills.
  • Ample knowledge of radio broadcast sales tools, such as Arbitron rating numbers, Maximiser, Wide Orbit, and Tapscan, including the use of formulas in sales proposals and presentations.
  • Proficiency in PowerPoint and Excel required
  • Creative and strategic thinker
  • Strong organizational skills, excellent command of verbal and written communication
  • Ability to prioritize and multitask under deadline pressures

Minimum Requirements

  • 5 years of experience in Media Sales or in a related area with a high volume of sales.
  • College Degree Preferred

  • Ability to create advertising proposals and exercise excellent presentation skills.
  • Ample knowledge of radio broadcast sales tools, such as Nielsen rating, Maximiser, Wide Orbit, and Tapscan, including the use of formulas in sales proposals presentationsand CRM systems
  • Must be proficient in MS PowerPoint, MS Outlook, Integrated Radio System, Nielsen, e-mail and CRM systems
  • Creative and strategic thinker
  • Strong organizational skills, excellent command of verbal and written communication
  • Ability to prioritize and multitask under deadline pressures
  • Work well both independently and in a team environment
  • Bilingual Spanish/English preferred

Position Summary
